Privacy Policy
Effective date: September 29, 2026 · Last updated: September 29, 2026
This Privacy Policy explains how Maine Community Insurance Agency LLC (“MCIA,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit mainecommunityinsurance.com, ask us for a coverage review or quote, buy or service insurance through us, or use MCIA Prevent. It is also our notice of insurance information practices under Maine law, and it explains the choices and rights you have.
Our approach to privacy
As an insurance agency, we need information about you, your home, and sometimes your vehicles and drivers to find the right coverage and help you use it. We collect only what we reasonably need, we use it to serve you, and we are careful about who else sees it. The insurance companies we place your coverage with have their own privacy notices, which they will provide to you.
We don’t sell your information
MCIA does not sell your personal information, and we do not share it with advertisers, data brokers, or other companies for their own marketing. We do not share your information with our related companies so they can market to you. Because we only share information in the ways described below, you do not need to take any action to limit sharing.
Information we collect
Information you give us
When you request a coverage review, call, text, or email us, or apply for insurance, we may collect your name, phone number, email address, mailing and property address, ZIP code, how and when you prefer to be contacted, whether you are an MCHA member, the coverage you’re interested in, your current insurance company and renewal date, and anything else you choose to tell us.
Insurance application and policy information
To quote, place, and service coverage, we may collect information such as:
- Property details: year built, construction, square footage, roof age, heating type, wood stoves, oil tanks, pools, and similar features
- Current and prior insurance, declarations pages, coverage limits, and premiums
- Claims and loss history
- For auto coverage: names and dates of birth of drivers, driver’s license numbers, driving history, and vehicle year, make, model, and VIN
- For landlord and business coverage: property lists, number of units, revenue, payroll, and the type of work you do
- Photos or documents you send us about your property
Information from other sources
With your application, we and the insurance companies we work with may collect information from sources other than you, as allowed by law. These may include insurance companies you have been insured with, consumer reporting agencies and insurance-support organizations (for example, claims-history databases, motor vehicle records, and, where permitted, credit-based insurance scores), property-data and inspection providers, and public records. Information collected by an insurance-support organization may be kept by it and disclosed to others as the law allows.
MCIA Prevent and related-company information
If you use MCIA Prevent, we receive the scheduling details from the company that performs the service. The inspection findings, photos, and report belong to you; we receive them only if you choose to share them with us, so we can talk through what they mean for your coverage. We may also receive confirmation from Maine Community Home Alliance (MCHA) of whether you are a member.
Website and technical information
Like most websites, ours and the services that run it may automatically collect information such as your IP address, browser and device type, pages viewed, the site that referred you, cookies, and security or error logs.
Health information
We don’t ask for health information to quote property and casualty insurance. If you share it with us, for example while we help you with a claim, we use it only for that purpose and do not disclose it without your written authorization, except as the law allows.
How we use information
- Respond to your questions and coverage-review requests
- Compare options, request quotes, and submit applications to insurance companies
- Help you buy, change, renew, and understand your coverage
- Help you report and follow up on claims
- Confirm MCHA membership, since MCIA serves MCHA members
- Arrange MCIA Prevent services you request and, if you share the results with us, advise you on them
- Provide the annual MCHA heating-fuel gift card to MCIA clients
- Send renewal reminders, policy documents, and other service messages
- Keep our website secure and working, and understand how visitors use it
- Meet our legal, licensing, record-keeping, and regulatory obligations, and prevent fraud
When we share information
We share personal information only when it is reasonably needed to provide the insurance services you asked for, to run our agency, or to comply with the law. We may share it with:
- Insurance companies we submit your information to for quotes, applications, policy changes, renewals, and claims
- Agency networks and wholesale brokers through which we access insurance companies, when needed to quote or place your coverage
- Consumer reporting agencies and insurance-support organizations, as part of underwriting or fraud prevention by an insurance company
- Our related companies, MCHA and Granite Coast Home Services, only as described below
- Service providers that help us operate, such as website hosting, email, phone, agency-management software, e-signature, and accounting providers, who may use the information only to provide services to us
- Regulators and government agencies, such as the Maine Bureau of Insurance, when required or permitted by law
- Our own insurers, accountants, and attorneys, when reasonably necessary
- Legal and safety reasons, to comply with the law, a subpoena, or other legal process, to prevent fraud, or to protect the rights and safety of our clients or others
- A business transfer, if MCIA or its book of business is sold, merged, or reorganized, subject to this Policy and applicable law
Maine law allows insurance agencies to disclose information without your authorization in certain other limited circumstances. We will not disclose your information in other ways unless you authorize it.
Our related companies
MCIA shares common ownership with Maine Community Home Alliance (MCHA), a Maine benefit corporation, and Granite Coast Home Services (GCHS). They are separate businesses. MCHA does not sell insurance, GCHS does not sell insurance, and MCHA membership and GCHS services never require you to buy insurance.
Because the three companies serve the same Maine households, limited information may pass between them when it is needed to provide something you asked for. For example:
- Membership: we may confirm with MCHA whether you are a member, since MCIA serves MCHA members
- MCIA Prevent: when you request an inspection or add-on service, we share your name, contact information, address, scheduling preferences, and any access instructions with GCHS or MCHA so they can do the work. The inspection results come to you, and they are shared with us only if you ask
- Service requests: if you ask us for help with something like dryer vent cleaning or a repair, we pass your request and contact details to GCHS
- Gift card: we share your name and contact information with MCHA so it can provide your annual heating-fuel gift card
- Coordination: scheduling, billing, and follow-up for services that involve more than one company
We do not share your policy details, premiums, claims history, consumer or credit report information, driver information, or health information with MCHA or GCHS unless you ask us to or give us permission. Our related companies may not use information from MCIA to market to you.
MCIA Prevent results stay with you and us. MCIA Prevent is a voluntary safety service, not an insurance inspection. Your inspection results are yours. If you share them with us, we use them only to advise you, and we will not send them to an insurance company or anyone else unless you ask us to, for example to apply for a discount.
Cookies and analytics
Our website uses cookies that are necessary for it to work. We may also use analytics tools, such as Google Analytics, to understand how visitors use the site. These tools may use cookies or similar technologies. You can block or delete cookies in your browser settings, although some parts of the site may not work as well.
Calls, texts, and emails
We do not send marketing text messages. We may call, text, or email you in response to a request you made or about insurance you have through us — for example, to follow up on a coverage review, send a quote or policy documents, remind you about a renewal or payment, help with a claim, or schedule MCIA Prevent services. We will use the contact method you prefer when we can.
You can ask us to stop texting you at any time by replying STOP or by contacting us. If we ever send promotional emails, they will include an unsubscribe link. Even if you opt out, we may still contact you about an active quote, policy, renewal, or claim.
How we protect information
We use reasonable administrative, technical, and physical safeguards to protect personal information, including limiting access to people who need it to serve you. Please don’t send policy numbers, driver’s license numbers, or other sensitive details through our website form; we will collect what we need securely when we talk. No website or storage system is completely secure. If a security incident affects your personal information, we will provide the notices required by law.
How long we keep information
We keep information as long as reasonably needed for the purposes described above and as required by law. Maine law requires insurance agencies to keep certain records about applications, policies, and transactions for a number of years. Coverage-review requests that don’t lead to a quote or policy are deleted when we no longer need them.
Your rights to access and correct information
Under Maine law, you may ask in writing to see the recorded personal information we have about you in connection with an insurance transaction. We will respond within 30 business days. If you believe any of it is wrong, you may ask us in writing to correct, amend, or delete it, and we will respond within 30 business days. If we disagree, you may give us a short statement explaining why, which we will keep with your file and include in future authorized disclosures. We may need to confirm your identity before acting on a request.
If an insurance company makes an adverse underwriting decision about you, such as declining coverage or charging a higher rate, you have the right to learn the specific reasons, and the insurance company will explain how to request them.
You may also ask us to delete information we no longer need. We will honor reasonable requests, but we may need to keep certain records to meet legal and regulatory obligations.
Children’s privacy
Our website is intended for adults and is not directed to children under 13. We do not knowingly collect personal information online directly from children under 13. When you give us information about a young driver or household member to quote coverage, we use it only for that purpose.
Links to other websites
Our website may link to other sites, such as MCHA, Granite Coast Home Services, insurance companies, or the Maine Bureau of Insurance. Those sites have their own privacy practices, and we are not responsible for them.
Changes to this Policy
We may update this Privacy Policy from time to time. When we do, we will change the “Last updated” date at the top of this page. If a change is significant, we may also give additional notice on our website or by email.
